Who is responsible for your data

Carolena Carstens, trading as The Internal Method, is the data controller for personal data collected through this site. That means she decides what is collected and why, and is responsible for protecting it.

What we collect

Depending on how you use the site, we collect:

• Identity and contact details: name, age or date of birth, email address, WhatsApp or phone number, country or city
• Athlete profile: sport, belt or level, club or coach, competition history and goals
• Application and intake answers: written responses about pressure, confidence, focus, recovery, routines and goals, including self rated scores
• Parent or guardian details and consent where the athlete is under 18
• Program participation: session attendance, booking details, notes taken by Carolena during coaching
• Support messages you send by email or in the private group
• Technical data: IP address, device and browser type, and basic usage data from visiting the site

Why we use it and on what basis

To review applications and decide program fit, and to create your account and access. Basis: performance of a contract and steps taken before entering one.

To deliver coaching, prepare sessions, track progress and tailor the work to you. Basis: performance of a contract.

To contact you about your program, bookings, session changes and materials. Basis: performance of a contract.

To keep the site secure and prevent fraud or abuse. Basis: legitimate interests.

To improve the programs and materials, using aggregated or de identified information where possible. Basis: legitimate interests.

To send occasional updates about new programs or seminars, only where you have asked for them. Basis: consent, which you can withdraw at any time.

To meet legal, accounting and tax obligations. Basis: legal obligation.

Athletes under 18

Minors may only apply or enroll with the involvement of a parent or legal guardian, and the intake form asks for that permission explicitly. A parent or guardian may ask to see, correct or delete their child's responses at any time.

Who we share it with

We do not sell personal data. We share it only with these categories of recipients:

• Payment processor: Square, which handles checkout, card payments, subscription billing and receipts. Card details are entered with Square and are never stored on this site.
• Service providers acting on our instructions: website and database hosting, email delivery for notifications, scheduling for private sessions, and the private community platform
• Professional advisers such as accountants or legal advisers, where needed
• Authorities or regulators, where we are required to by law

How long we keep it

Application and intake responses are kept while you are in a program and for up to three years afterward, so past work can be picked up again if you return. Financial and tax records are kept for as long as the law requires. After that, data is deleted or anonymized.

You can ask for earlier deletion at any time and we will honor it unless we must keep a record by law.

International transfers

Our hosting, email and payment providers may process data outside your country, including in the United States and the European Union. Where data leaves the UK or EEA, transfers rely on appropriate safeguards such as standard contractual clauses or an adequacy decision.

Your rights

Subject to the law that applies to you, you can ask to access your data, correct it, delete it, restrict or object to how it is used, receive a portable copy, and withdraw consent where consent is the basis.

Email carolenajean@gmail.com and we will respond within one month. If you are in the UK or EEA and you are not satisfied, you have the right to complain to your local data protection authority.

Security

We use appropriate technical and organizational measures to protect your data, including encrypted connections, access controls on the database, and restricting intake responses so only Carolena can read them.

Cookies and local storage

This site uses only essential storage. Your language choice and your in progress form answers are saved in your own browser so you do not lose work, and sign in sessions for the private admin area use an essential cookie. We do not run advertising or marketing cookies. Clearing your browser storage removes these at any time.
